How to use the Golfbreaks App

Need help managing your golf break? We've created this handy guide to walk you through using our app, including how to manage a quote, invite guests to a booking, make a payment, and more.

While our sales experts here at Golfbreaks are always happy to call you and assist with any matter concerning your booking, one of the quickest and easiest ways to manage your golf break is by using our App.

You not only have 24/7 access to all the information regarding your break, but from here you can view your quotes, update guest details, make payments, view package itineraries, or proceed to the booking stage if you have been provided with a quote. You’ll also receive exclusive member offers and get rewarded with Breakpoints every time you book with us, which you can redeem for money off future trips.

Below, we have created a short guide on accessing and navigating the app to manage your golf break.

Logging into the app

If you already have an account, you can sign into our app here. If you don’t have an account, you can create one here too. Making an account is quick and simple, plus you will benefit from being able to easily manage and make changes to your bookings online without needing to contact us.

Remember you can still view your quotes and booking summary online, even if you do not have an account. Simply follow the link sent to you in the email or ask the lead booker to share this with you.

Homepage

Once signed in, you will be viewing your app homepage. This area will provide you with easy access to any quotes or bookings and a list of the latest Golfbreaks offers. You can also quickly navigate to view your Breakpoints, member offers, and your account settings where you can update your profile.

If you need to get in touch, you can navigate to ‘Account’ where you will find a link to contact us and a list of helpful FAQs.

Quotes

After you’ve enquired online or spoken to a sales expert, your quote will be available online or on the app. Quotes in the app can be found under the “Breaks” tab.

Here you will be able to view active or expired quotes. Select the quote you wish to view (if you have more than one). The app allows you to view single package details, or compare packages side by side. The comparison view is broken down into rows and columns with each one representing a different break that has been prepared for you, making it easy for you to compare them.

Each quote is broken into 4 areas:

  • Pricing breakdown: Here you can see each itinerary's costs per person, along with additional costs, extra discounts and more.
  • Review itineraries: Here you can expand and view what is included in each itinerary. Each itinerary represents a variation of your break that has been quoted. For example, you might have golfers in different room types, others might have different transport options, and you may even have non-golfers too.
  • Package Breakdown: Here you will find elements that are for your whole booking and not for a specific itinerary such as transfer offers and extras.
  • Important information: Here you will be able to view information relating to deposits, next steps and links to booking terms.

If you’d like the rest of your group to see your quote, simply use the ‘share quote functionality to get a unique link that you can send to them via email, SMS, WhatsApp, or your social media channel of choice.

If you decide there is a package you are no longer interested in, you can remove it from your quote by clicking ‘Delete break’ from the quote options menu (top right menu). You also have the option of telling your sales expert to change something on one of the packages on the quote by clicking ‘make a change’ and following the simple steps to let them know what it is you would like to change.

Alternatively, if there is a package you’d like to proceed with, you can click the ‘book’ button. Depending on the break you are booking, you will have the option to arrange a callback at a convenient time with your sales expert, call them directly or provide your payment card details online. This will alert your specialist sales expert to go ahead and start reserving accommodation and tee times. You will then be contacted to refine some of the finer details of your booking.

If you’d like to get in touch with your sales expert, you will find their name, contact details and opening times under the Contact Us section of the quote options menu.

Bookings

In trip view – If today is your travel day you will see a different view as your home page. Whilst on your break will see the app home page change from the standard view to the ‘in trip’ view.

When you open the app we will take you straight to today’s itinerary. If you wish to navigate to another part of the app, don’t worry, you can navigate out of ‘in trip’ view by using the bottom navigation.

Bookings can be located under the ‘Breaks’ tab located on the bottom navigation. Here you will see upcoming, and previous bookings.

Each booking will display per booking tile. When you open your booking, you will be presented with the break summary. You can swipe the top navigation to select different tabs to view more information regarding your break.

This guide will cover all tabs of the booking. Only tabs relevant to your break will show in the app.

  • Summary: This will provide a high-level overview of your break, showing key information. Scrolling down the page you will see payment overview, outstanding tasks and quick links to golf and accommodations.
  • Itinerary: This section will show a daily breakdown of your trip. If you are the Lead Booker, you can filter this to view the itinerary variations for all your guests. The breakdown includes flights, hotel check-in times, breakfast times, dinner, tee times, and other elements such as spa treatments. Guests who have been invited to the booking will only be able to see the information relevant to the itinerary you assigned to them.
  • Manage guests: Here you can add your guest details manually or share itinerary links allowing guests to sign up themselves reducing your admin time.
  • Manage payments: Under one tab you can view full payment details, allocate payment amounts per guest (once invited), share payment links, and view full breakdown and payment history.
  • Rooming list: Once you’ve added your guests to your booking using the ‘Manage guests’ tab, you can then assign each guest to a room under the rooming list feature. This is where you tell us who is sharing with whom. The rooming list will then be sent to your accommodation which will help to speed up your check-in on arrival.
  • Tasks: The tasks section is where the Lead Booker can provide or allocate information that needs to be collected before you depart for your golf break. For example, Advanced Passenger Information (API) for flights, car details for travelling on ferries, flight details for airport transfers, and more. Please be aware that depending on how you are travelling, and the company you are travelling with, different information will be required from you and all your guests. It is important that you correctly provide this information to prevent any issues or delays with your booking.

Tasks can be assigned to guests travelling on your break. The first thing you will need to do is assign guests via the manage guests tab. Once guests have been assigned, you can enter the tasks section and view all tasks to be completed before travel. If you do not have the information from your guests, you can allocate tasks to specific people in your booking for them to complete. For a guest to complete a task, they will need to accept the Golfbreaks app invite which you can send from the ‘manage guests’ tab.

The tasks shown will depend on the components of your golf break. This example shows flights and LeShuttle which require action before travel. Tasks are displayed using subheadings which can be expanded to show more detail.

Once expanded each task will request specific information, such as passenger details. If the task can be assigned, you will be able to select a guest’s name from the ‘share with guest’ dropdown. When the invited guest logs in to their app, they will see a list of tasks to complete in their task tab.

Alternatively, if the information is available to the lead booker, they could also fill in the required fields on behalf of their guests. Assigning a task would not be required in this instance. Only assigned tasks are visible to guests.

If a task is assigned and completed, this will be shown as complete for both the lead booker and the guest.

Once all the required details have been collected, the lead booker will be able to send all of the information to Golfbreaks by selecting the ‘submit details’ button.

When submitting flight information, the lead booker will need to submit the details once all of the passenger information is complete. For all non-flight tasks, the assigned guest will be able to complete and submit the task on behalf of the lead booker.

If you have submitted a task and you need to make further changes, please use the ‘booking options menu’ to get in touch with a member of the Golfbreaks team who will be happy to assist you.

  • Booking notes: The information section offers a list of any booking notes from your sales expert, as well as additional details for accommodation, golf, travel, and extras. These pages are where your sales expert will add important information regarding your booking, such as travel arrangements or extras you have requested, so we encourage you to check over these pages very carefully.

If something does not look quite right or needs changing, get in touch and our customer service team will be glad to help.

  • Accommodation: Here you will be able to see all the information relating to the venues you are visiting such as check-in times to facilities, images, FAQs and more.
  • Meals: Any specific meals included in your break will be shown here. You will see the meal type, which itinerary the meal is included, venue, date, and time.
  • Golf: Here you will be able to see all the information relating to the courses you are visiting such as tee times, course images, reviews and more.
  • Travel: If you have booked any travel components as part of your break, you will see all relevant information under the travel tab such as flights, transfers, car hire, ferries and more. This tab will include information you must read before you travel. Please make sure all information is up to date and correct.
  • Tuition: If you have any tuition included in your break you will be able to view all details relating to this here.
  • Tickets & Excursions: If you have any tickets or excursions included in your break you will be able to view all details here.
  • Extras & Offers: All information including costs/discounts will show be shown here.

Manage guests

The app allows you to invite your fellow guests to view the booking. Simply create an invite link for the relevant itinerary and send it to your friends, allowing them to add themselves to the booking.

Alternatively, as the Lead Booker you can add guests manually by adding their name. You also have the option to invite a guest to a booking by adding their email address. Your guests will receive an email invitation to join the booking and view their personalised itinerary for the trip.

This means they won’t need to ask you for the information as they will have access to it all online in their own account. Please be aware that they will only see the information on the itinerary you have assigned them to and not the itinerary of any other guests on the booking.

Once you have added all the guests, their names will appear on the ‘Rooming List’ page. This makes it easier for you to assign them all to the correct rooms and speeds up your check-in process on arrival at the venue.

Manage payments

The payments page gives you an overview of the payments made to date and includes a completion tracker as a visual aid to tell you how much of your booking is left to pay. You will see any payment deadlines, the outstanding balance left to pay, and you can even make a payment online or share the payment link for your group to pay.

To make managing your break even easier you can allocate and share payments to each guest. To allocate an amount you will need to make sure the guests have signed up using the invite links or you have added guest details via the manage guests tab. Once complete navigate to the manage payments tab, simply click the edit symbol next to each guest and enter the amount you wish to receive from them. If you need a reminder of what’s included, open the full breakdown tab which will give you a full overview of your booking so you can allocate the correct amount per guest.

You can allocate the divided amount to pay however you would like, but you are not able to allocate more than the total price. Guests can pay as much or as little as they would like, the allocation you send them is a guide, but they can override this. However, they are not able to pay more than the outstanding balance of the golf trip.

The ‘pay’ button is unique to the lead booker (if set when managing guests). If you have submitted a guest’s email in the ‘Manage guests’ tab, you will see a ‘request’ button when allocating a payment to them. If a guest does not want to provide their email, you can send them a payment link instead.

If you wish to share a payment link via social media or another channel, click the link symbol next to the guest’s name and then ‘share payment link’. Each guest’s payment link is unique, so ensure you send the correct link to the right person.

Once you’ve requested payment from someone, you can resend an email reminder if needed. When a guest has fully paid, the option to request, resend, or copy the link is removed.

If you need to allocate more and resend them a link again, edit the amount and re-trigger the request. Additionally, if you need to remove a guest and add someone else, this will need to be done via the manage guests tab.

Account

Here you can ensure your personal details are up-to-date and tell us more about your golf and travel preferences. This will personalise your experience and ensure that we show you the most relevant offers and information. The account page is also where you can choose how Golfbreaks keep in touch with you, with the option of subscribing to our weekly email, seasonal brochure, and SMS offers.

Breakpoints

Located under “Account” This is our loyalty programme, where you can earn points for every pound spent and redeem them for money off future golf breaks. Your app will show you any current points you have banked and what that converts to in savings, as well as any pending Breakpoints for upcoming bookings.

Member offers

If you would like to view the latest members-only offers, promotions, and partner exclusives, you can do so by clicking the ‘OFFERS’ tab on the bottom navigation which will highlight our latest offers.
